Most blood banks have manual systems for documentation and record keeping. This results in additional manpower requirement for data, samples, and information management. Manual handling of various operations results in repetitive errors in sample mix up, testing mix up, data mix up, labeling error etc. Several reports of morbidity and mortality have been documented, world over, related to avoidable manual (or clerical) errors in blood banks. It is also cumbersome to track these errors and rectify them on regular basis. Automation scores advantage in blood bank management due to high precision, easy accessibility of donor- patient data, and convenient inventory management. At IMA Blood Bank, we introduced automation to avoid these mishaps

Barcode system
Robotic equipment - to read barcodes
ERP software - that integrates all functions

Barcode system

Specially designed barcodes are used on donor form, donor record, both tubes and blood collection bag including every satellite bag issues.

Automation

  • Prepares plates for ELISA, blood grouping & (TPHA. can read)
            barcodes

  • Liquid Handling Functions – dispenses controls, samples and        sample

  • Automated ELISA Processor – all steps of ELISA like incubation,        washing, conjugate; substrate and reading are done by
          machines

  • Blood collection monitor- sophisticated equipment used at the time of blood collection. Which        measures volume, does mixing, and BCM is provided with alarm and clamps.

  • Component Separation done by using programmable refrigerated centrifuges. Quarantine and        labeling is done by using various functions of software.

  • Screening report is generated through software.

ERP software

  • Interfaced with robots and barcodes and integrates all
            functions

  • Intelligent Labeling - Quarantine to finished goods category         (Donor information, grouping and testing results,
composite label, issue label, bio-hazardless labeling)

  • Expiry - Computed on basis of shelf-life

Intelligent labeling

Product label for different blood components. Composite label is generated by software using different information from different module like donation number, date of donation, product name, group name and that it is non-reactive for TTI & the expiry date etc. It is ensured that without composite labeling product can not be issued.

Automation For Blood Collection

  • Component processing and inventory.

  • Component reservation and issue.

  • Raw Material.

  • Human Resources.

  • Financial Accounting.
The software auto produces different kinds of reports for efficient running of the blood bank. This includes all FDA required reports.

Donor Database Management

Donor database management is initiated with each donor being assigned a unique barcode number. All information collected about the donor and donation is maintained on this number.

It has become the basis of a warmer and more effective Customer Relationship Management to serve and retain blood donors.

Product process & Inventory

The software links up the blood testing machines with donor database, product database and patient database. Through this integration, large number of screening and blood grouping is performed accurately and efficiently. This has taken away the fear of mistakes and infused high confidence in the medical team with its fault free performance.

At a given point of time, the blood bank can have a large number of different components. Our unique system can help trace and locate any instantly. The software ensures First in First Out (FIFO) and unique online stock information.

Patient & Hospital Database

The system holds a comprehensive patient database and issue report. The system is geared up to deliver a unique blood reservation system and incorporates predefined service charges and subsidy structures to generate accurate service charge invoice for every component issued.

Stock Inventory

The software enables the practices of Just In Time (JIT) and FIFO. It supports integrated Stock maintenance for multiple locations, online stock statement, stock ledger and inventory evaluation.

Finance Management

The finance module contains all major entities of a traditional finance system like ledger, and voucher maintenance. It can segregate cost wise financial information generate trial balance, profit and loss, fixed asset monitoring and reconcialtions.

Human Resource Management

The human resource module maintains all employee information and records training, leave, loan information along with salary registers, pay structures, P.F.forms and medical insurance details
